Set occupied-building rules before mobilization

An occupied project starts with an operating agreement, not a trade schedule. Ardenvale walks the building with the facility manager to identify occupied hours, secure areas, sensitive rooms, emergency routes, staff circulation, delivery restrictions, and the approvals required before an area changes condition. Work zones, temporary partitions, contractor access, waste movement, and daily handback standards are then defined for each phase. After-hours and weekend tasks are separated from daytime enabling work so short access windows are used for the activity that actually requires them.

Dust and noise controls are matched to the adjacent use. Temporary partitions are sealed at interfaces, negative air is used where the consultant or facility protocol requires it, and return-air paths and finished surfaces are protected before disruptive work begins. Noise and vibration are scheduled around meetings, patient or client activity, testing, and other known sensitivities. Before occupants return, the area is cleaned, routes are reopened, temporary hazards are removed or secured, and the facility contact receives a clear status of completed and remaining work.

Control life-safety isolations and access

Sprinkler, fire-alarm, emergency-power, and other life-safety impairments require a notification chain that is agreed before the first request. Ardenvale coordinates the affected zone, isolation time, responsible service provider, monitoring changes, fire-watch requirements, occupant notices, and restoration test through the facility's approved process. An isolation is not treated as complete when the trade finishes its task. It closes only when the system has been restored, the required test is recorded, and the facility contact confirms that the impairment notice can be cleared.

Elevators and loading areas are shared operating assets, so access is booked in defined windows. Protection, cab dimensions, load limits, service-mode requirements, delivery paths, and cleanup are confirmed before materials arrive. Large or disruptive deliveries are coordinated with security and receiving, and alternate occupant routes remain available where required. This prevents a trade delivery from blocking tenant movement, waste collection, emergency access, or another scheduled vendor and gives the facility manager a reliable view of when each shared asset is committed.

Deliver practical upgrades in controlled phases

Interior renovations in a working building are often constrained by sequence rather than size. Washroom upgrades may require one group of fixtures to remain available, corridor work may need a safe route at the end of every shift, and office reconfigurations must coordinate furniture, data, power, HVAC, and staff moves. Ardenvale divides the project into releaseable areas with clear prerequisites and handback conditions. Inspections, ceiling closures, finish protection, and final cleaning are placed in the look-ahead schedule so a nearly finished phase does not remain unavailable because one review was missed.

AODA accessibility retrofits are coordinated as a path of travel rather than a collection of products. Door clearances, operators, hardware, turning spaces, washroom layouts, visual and tactile information, and changes in level have to work together with existing conditions and the consultant's design. Small-to-mid-sized projects still receive a defined schedule, submittal control, change process, and closeout list. That structure matters when speed and predictability are more valuable to the facility than the absolute scale of the work.

Use one contact and a defined escalation path

The facility manager should not have to coordinate the trade base. Closeout is useful only when operations can find what changed. Ardenvale tracks approved submittals, field changes, inspection and commissioning records, as-built information, O&M manuals, training documents, and deficiencies required by the contract, then organizes them by area or system for handover.
